How Billing Works
Riding Places uses graduated per-rider pricing. You only pay for active riders: members who have used Riding Places in the last 60 days. Each band applies only to the riders in it, so growing never causes a jump in your rate. Billing is monthly through Stripe.

A group with 250 active riders pays for the first 100 at the first rate and the next 150 at the second, not 250 at a single rate.
Billing is in arrears: each invoice is issued at the end of the month it covers, calculated from your active rider count at that point, so your bill always reflects the month you actually had. Mid-month changes are reflected in the next invoice rather than charged separately.
Managing Your Subscription
Go to Settings and find the Subscription Management section. Here you can see:
- Size - A descriptive label for your group's size, based on your active rider count (it no longer affects your rate)
- Billing - Your billing frequency (Monthly)
- Status - Whether your subscription is Active, in a grace period, or Canceled
- Active Riders (60 days) - The number of riders who logged in within the last 60 days
- Per-Rider Rate - Your effective blended rate across the graduated bands (it falls as your group grows)
- Discount - Any active promotional discount
- Total Cost - Your calculated monthly charge
- Current period - Start and end dates for your billing cycle
Below the summary, Billing History shows all past invoices with dates, amounts, payment status, and a link to Download PDF for each invoice.
Stripe Billing Portal
Click Manage Subscription to open the Stripe billing portal, where you can:
- View your current subscription details and upcoming charges
- Update or add a payment method
- Update your billing information (name and email)
- View invoice history
- Cancel your subscription
What Happens If a Payment Fails

If every retry fails, your subscription is canceled. When this happens:
Upon cancellation:
- Your group's Rambles stop running: they and their GeoZones are automatically set to Expired
- Riders will no longer be able to take part in them or earn rewards
- Creating or publishing Rambles is blocked until you resubscribe
- You'll receive an email explaining what happened
To avoid disruption, make sure your payment method is up to date. You can update it anytime via the Manage Subscription button in Settings.
Your Data Is Always Safe
Whether you're in a grace period or your subscription has been canceled, your data is never deleted.
What's preserved:
- All your Rambles and their GeoZone configurations
- Your complete member list
- All ride history and completion records
- Points earned by your riders
- Your group profile and branding
- All historical data and analytics
You can reactivate your subscription at any time and pick up right where you left off.
Reactivating Your Subscription
If your subscription was canceled, you can reactivate at any time:
- Log in to your Riding Places account
- Go to Settings
- Update your payment method
- Subscribe to a new plan
After Reactivating
Once your subscription is active again, you'll need to set your Rambles running again from the Rambles tab:
- Review your Rambles - They were set to "Expired" when the subscription ended
- Check the dates - Open each Ramble and update its Schedule if the dates have passed
- Set them live again - Click Save & publish to re-publish a Ramble, or use Reopen this Ramble for a recurring one you'd ended
- Notify your riders (optional) - Let them know your Rambles are back!
Voluntary Cancellation
If you choose to cancel your subscription voluntarily:
- Your group remains active until the end of your current billing period
- Your Rambles stay live until your subscription actually ends
- When it ends, your Rambles stop running: they and their GeoZones are set to Expired
- All your data is preserved indefinitely
- You can resubscribe at any time to reactivate
Email Notifications
We'll keep you informed about your subscription with the following email notifications:
Subscription Confirmed
When you subscribe, you'll receive a confirmation email that sets out:
- When your free trial ends, and the date of your first charge, which comes one month after that because billing is in arrears
- The monthly amount, and that the subscription renews automatically until you cancel
- How the amount is worked out from your active rider count
- How to cancel online, and next steps to get started
Free Trial Ending
Before your trial converts you'll receive two reminders, one 14 days before and one 3 days before, each showing:
- The date your trial ends, when nothing is charged; you'll receive a zero-amount invoice confirming there is nothing to pay for the trial
- The date and estimated amount of your first real charge, one month after the trial ends
- That the subscription then renews automatically until you cancel
- How to cancel online before the trial ends, at no charge
Renewal Reminders
Three days before each monthly bill you will receive a reminder that includes:
- The estimated amount, the date it will be taken, and the service month it covers, since each bill is for the month just finishing
- Your active rider count, which the amount is based on
- That the subscription renews automatically until you cancel
- How to cancel online before the charge
Payment Failed
If a payment is declined you'll receive an email explaining:
- The amount that could not be taken
- That your group keeps running normally while the payment is retried, so nothing stops on the first decline
- That if it still can't be taken, the subscription ends and live Rambles stop running
- A link to update your card
Subscription Canceled
If your subscription is canceled, you'll receive an email explaining:
- That your Rambles have stopped running and been set to Expired
- Confirmation that all your data is preserved
- Step-by-step instructions to reactivate
- What you'll need to do after reactivating (check dates, then re-publish your Rambles)
