How to use this guide

Work top to bottom: plan with the checklist, then launch with your materials and announcements - five numbered steps in all. Every template is 90% done - replace the [PLACEHOLDER] fields with your details and go.

Assign a Program Champion first - one person (HR, sustainability lead, or an enthusiastic cyclist) who owns the rollout. Everything below is built for them.

1. Plan your program

Six decisions and you're ready. Most teams get through them in one 30-minute session with their HR or sustainability lead.

  1. Name a Program Champion - one person who owns the rollout (HR, sustainability lead, or an enthusiastic cyclist).
  2. Create your group and complete your Profile - including your wordmark and brand color, which brand your printed materials.
  3. Pick your Rambles from the ideas below - a mix of two or three works best - and confirm the monthly budget with whoever signs it off. Each idea names the kind card to pick in your Rambles tab.
  4. Copy your group invite link and access code from your Dashboard's "Share Your Group" bar - they go into every template below.
  5. Pick a launch date - Tuesday or Wednesday morning works best, clear of other all-staff announcements.
  6. Brief your managers a few days ahead, then send the announcement, post in Slack or Teams, and put up the poster.

Ramble ideas

Four rules from programs that work:

  • Give everyone a reason to keep riding. Programs only the fastest riders can win decay within weeks - the same few win every time and everyone else checks out - so mix in ones where any rider has a real shot.
  • Monthly is the right cadence. Weekly only during launch month; quarterly and annual prizes are anchors, not the engine.
  • Small, frequent, and certain beats big and rare. £10 or £20 every month generates more riding than £1,000 at year-end.
  • Anchor rewards to GeoZone visits. They are GPS-verified arrivals - fair, automatic, and hard to game.

Pick: Visit one location on a ride

Reward riders for cycling to a place that matters: your office, your shop, a scenic spot. One visit is all it takes.

Ride More

Monthly

Pick: Visit one location over time

Set a visits target for the period, like riding in 8 times a month, and everyone who hits it earns a flat credit. Counting visits rather than kilometers means short rides count equally.

The Tour

One-off

Pick: Visit multiple locations on a ride

String your locations together: riders visit all of them, or any few you choose (say 3 of 5), on a single ride. Great for events and multi-site days.

The Group Goal

Monthly

Pick: Visit locations as a group

Set a whole-group target, say 150 visits in the month. Hit it and everyone who rode shares the win: a team breakfast, or a small voucher each. Riders encourage each other instead of competing.

Pedal for Good

Monthly

Pick: Pedal for Good

The group donates £1 to a local charity for every qualifying ride, capped at a monthly budget. Every ride counts for something, and it feeds your sustainability story.

The Green Jersey

Monthly

Pick: Leaderboard (CO2 saved)

Top 3 by CO2 saved in the month, e.g. £25 / £15 / £10. CO2 reflects distance and the transport replaced, so steady short-distance riders can place, and it keeps sustainability front and center.

The Distance

Monthly

Pick: Leaderboard (Distance)

Top 3 riders by distance ridden in the month, e.g. £25 / £15 / £10 vouchers. Rewards the riders covering the most ground, however and wherever they ride.

Good to know: most prizes settle themselves. Award emails go out automatically when a rider hits their target, the group reaches its goal, or the leaderboard period ends.

2. Launch materials

Your print-ready materials are generated inside the product, branded with the wordmark and color from your Group Profile.

One-page A4 poster for your whole group: why join, setup steps with App Store and Google Play QR codes, and your group join QR with access code. It comes with a prefilled announcement email and a short blurb, ready to copy.

Tip: Print for bike storage, reception, and break rooms. It stays accurate all year - no dates on it.

Ramble Poster

Rambles > Actions > Marketing materials (on any live Ramble)

A one-page poster for a single Ramble: the pitch in your own words, dates, reward, and a QR straight to its public page. The share sheet includes launch and mid-Ramble reminder emails plus a short blurb.

Tip: Put one up for each Ramble you launch, and refresh it when a new period starts.

3. Brief your managers

Send this to people managers a few days before the announcement - they're your best amplifiers. Copy it into an email or your managers channel: what the program is, why the company is doing it, and five specific things managers should do.

4. Send the announcement email

Copy the plain-text version below for a personal send from your champion, or download the HTML version for Mailchimp, HubSpot, or company-wide distribution lists.

Before you send

  • Fill in every placeholder - search the text for [ to catch them all
  • Send yourself a test first and check it renders in Outlook and iPhone Mail
  • Click the join link and confirm it lands on your group page
  • Verify the access code joins the right group
  • Send Tuesday or Wednesday morning - Monday inboxes are crowded, Friday emails get forgotten

5. Keep momentum in Slack / Teams

Four ready-to-paste messages for the launch arc: announce on launch day, remind during week one, celebrate the week-two milestone, and share month-end results (stats come from your dashboard).
